Setting Up the Company
What to create for a company after it's onboarded and before its first workers, and in what order.
Once a company is onboarded, set up the records its workers and pay refer to. In Payroll Infrastructure there is no admin portal, so you create all of them with the API, using the company's API key. Most worker requests refer to a work location, an approval group or a payroll calendar by ID, so create them before the company's first worker.
What to set up, and in what order
| Order | Record | Why it matters | Start with |
|---|---|---|---|
| 1 | Webhook endpoints | Payroll runs, requirements and payouts move on in the background, and webhook events tell you when. You may have created the first endpoint with the company | Webhook Endpoints API |
| 2 | Work locations | A wage is taxed where it was earned. The location's address decides the tax jurisdictions and which leave rules apply | Create a work location |
| 3 | Payroll calendars | Each pay period on a calendar gets a regular payroll run. Workers you don't assign go on the company's default calendar | Payroll Calendar API |
| 4 | Approval groups | Organize workers, and scope GL code mappings | Create an approval group |
| 5 | Cost centers | Up to three categories, like client, job or department, to tag wages with | Create a cost center |
| 6 | Pay codes | The categories each item of pay goes under. Everee provides defaults, like REGULAR_HOURLY and BONUS. Create your own only for categories that don't fit one | Create a pay code |
| 7 | Leave types and policies | Only if the company tracks paid time off in Everee | Managing leave and PTO |
Setting up your organization has the detail for each record, with examples. Where it describes the admin portal, that applies to hosted payroll only.
Workers' Comp classes aren't set up through the API: Everee enters them during company onboarding and updates them at each coverage renewal. List Workers' Comp classes to find the codes to attach to pay.
Check before the first run
- List the payroll calendars and check the company's default calendar matches the pay frequency your customer expects.
- Map the pay types in your product to pay codes. See Pay codes and gross pay basics.
- Send a test event to each webhook endpoint, and check your handler verifies it.
Then add workers. See Managing workers.
